Upload & Submitted Materials Policy

Terms and conditions governing the documents, files, and materials you upload or submit to JHBRIDGE Translation Services.

Authorization

By uploading, submitting, or otherwise transmitting any document, file, or material to JHBRIDGE Translation Services ("JHBridge," "we," "us," or "our"), you represent and warrant that you have the legal right and proper authorization to do so. This means you must be the rightful owner of the material, have obtained all necessary permissions from the owner or rights holder, or otherwise have lawful authority to share the material with JHBridge for the purpose of receiving our services.

You further represent that the submission of such materials to JHBridge does not violate any applicable law, regulation, court order, or contractual obligation, including but not limited to confidentiality agreements, non-disclosure agreements, or intellectual property rights held by third parties. If you are uploading materials on behalf of another person or entity, you represent that you have been duly authorized to act on their behalf.

JHBridge is not responsible for verifying the authorization status of uploaded materials. If it is later determined that you did not have proper authorization to submit certain materials, you agree to indemnify and hold JHBridge harmless from any claims, damages, losses, or expenses (including reasonable attorney fees) arising from or related to your unauthorized submission.

Permitted Use

Materials submitted to JHBridge are used solely for the purpose of providing the translation, interpretation, or related language services you have requested. We will not use your submitted materials for any purpose other than fulfilling your service request, unless you provide explicit prior consent or unless otherwise required by law.

Your submitted materials will not be shared with parties outside of JHBridge and its authorized contractors, translators, and interpreters, except as necessary for service delivery. For example, a document submitted for translation will be shared with the translator assigned to your project, but it will not be shared with unrelated third parties, used for marketing purposes, or included in public-facing materials without your express written consent.

We treat all submitted materials as confidential in accordance with our Confidentiality Policy. Our use of your materials is limited to what is reasonably necessary to complete the requested services, maintain records for legal and business purposes, and comply with applicable law.

File Requirements

JHBridge may establish and communicate file type restrictions, size limitations, and format requirements for uploaded materials. These requirements are designed to ensure compatibility with our systems and tools, and to maintain the quality and efficiency of our services. Accepted file types and maximum file sizes may be communicated on our website, during the ordering process, or through direct correspondence.

If you submit a file that is corrupted, incomplete, illegible, password-protected without providing the password, or otherwise unreadable by our systems or team members, we may not be able to process it. In such cases, we will make reasonable efforts to notify you and may request resubmission in a different format or with necessary corrections. Any delays resulting from file quality issues are not the responsibility of JHBridge.

We recommend that you verify the completeness and readability of your files before submission. For documents containing specialized formatting, embedded fonts, or complex layouts, you may wish to provide the document in multiple formats (for example, both the original format and a PDF version) to ensure accuracy in the translation process.

Security Screening

JHBridge may employ automated security checks, virus scanning, malware detection, or other screening measures on files uploaded to our platform. These measures are designed to protect the integrity of our systems, safeguard our team members, and prevent the introduction of harmful code into our infrastructure.

Files that are flagged as potentially dangerous, suspicious, or containing malicious code may be quarantined, blocked, or deleted without prior notice. JHBridge is not responsible for any delays, data loss, or inability to provide services resulting from the quarantine or deletion of files that fail security screening. If your file is rejected by our security screening, you may contact us to discuss alternative submission methods.

While we take reasonable steps to screen uploaded files, we do not guarantee that our screening will detect all possible threats. Our security screening is one component of a broader set of security measures and is not a substitute for your own due diligence in ensuring that files you submit are free of malware and other harmful content.

Prohibited Uploads

You may not upload, submit, or transmit any files containing malware, viruses, trojan horses, ransomware, worms, spyware, or any other malicious or harmful software code. The intentional submission of malicious files is a serious violation of our Acceptable Use Policy and may result in immediate account termination and referral to law enforcement.

You may not upload content that is illegal under applicable law, including but not limited to child exploitation material, content that facilitates terrorism, stolen property records, materials obtained through hacking or unauthorized access, or any other content whose possession, distribution, or processing would constitute a criminal offense. You may not upload files that contain the personal data of individuals without proper authorization, consent, or legal basis to share such data with JHBridge.

You may not upload materials that infringe upon the intellectual property rights of third parties, including copyrighted works used without the copyright holder's permission, trade secrets misappropriated from their rightful owners, or materials subject to contractual restrictions that prohibit sharing with third parties such as JHBridge.

Retention and Deletion

Uploaded files and submitted materials are retained in accordance with our Data Retention and Deletion Policy. The specific retention period for your materials depends on factors such as the nature of the services provided, the type of materials submitted, applicable legal and regulatory requirements, and any contractual obligations that may apply.

Following the completion of services, your files may be retained for a limited period to support quality assurance, facilitate any follow-up requests, and allow for the resolution of any disputes. After the applicable retention period has elapsed and no legal hold or preservation obligation applies, your files will be securely deleted from our active systems. Deletion from backup systems may occur on a delayed basis consistent with our standard backup rotation schedules.

Certain records associated with your submission -- including invoices, project records, contracts, e-signature records, and basic transaction information -- may be retained for longer periods as required for legal, tax, accounting, or compliance purposes, even after the underlying source files and translations have been deleted. JHBridge's Rights

JHBridge reserves the right to refuse, reject, quarantine, or delete any uploaded file or submitted material at its sole discretion, including but not limited to files that fail security screening, files that appear to violate this policy or our Acceptable Use Policy, files that we believe may expose JHBridge to legal liability, and files that are not compatible with our systems or services.

JHBridge may delete files that are identified as suspicious, prohibited, or potentially harmful without prior notice to the submitting user. We are not liable for any loss, damage, or inconvenience resulting from the deletion of such files. While we will make reasonable efforts to notify you if your submission is rejected, we are not obligated to provide advance notice in all circumstances, particularly where the file poses a security or legal risk.

JHBridge is not responsible for unauthorized uploads made by users. If a user uploads materials without proper authorization, the uploading user bears sole responsibility for any resulting claims, damages, or legal consequences. JHBridge may preserve uploaded materials and associated records as required by law, including in response to legal process, government requests, or litigation holds.

Risk and Responsibility

You assume full responsibility for the content, legality, and authorization of all materials you upload or submit to JHBridge. You are responsible for ensuring that your submissions comply with all applicable laws, regulations, and contractual obligations, and that you have obtained all necessary rights and permissions before uploading.

JHBridge is not liable for the loss, corruption, damage, or unauthorized disclosure of uploaded files, except to the extent directly caused by our gross negligence or willful misconduct. Digital storage and transmission carry inherent risks, and while we employ reasonable safeguards, we cannot guarantee the absolute preservation, integrity, or security of all uploaded materials. You are strongly encouraged to retain your own copies of all files submitted to JHBridge.

JHBridge exercises reasonable care in handling, storing, and processing uploaded materials, but we make no warranties, express or implied, regarding the preservation or continued availability of uploaded files beyond the applicable retention period. To the fullest extent permitted by applicable law, our total liability for any loss or damage to uploaded materials is limited as set forth in our Terms of Service.
