Confidentiality Policy

How JHBRIDGE Translation Services handles and protects the confidentiality of client documents, project information, and communications.

Our Commitment

JHBRIDGE Translation Services ("JHBridge," "we," "us," or "our") recognizes that our clients entrust us with sensitive documents and information in the course of receiving translation and interpretation services. We are committed to maintaining reasonable confidentiality practices to protect the privacy and security of all client materials and information shared with us.

All documents submitted to JHBridge for translation, interpretation, or related services are treated as confidential by default. This means that we handle client materials with care, restrict access to those who need it for service delivery, and take reasonable steps to prevent unauthorized disclosure. Our confidentiality practices apply to source documents, translated deliverables, project communications, and associated metadata.

While we take confidentiality seriously and implement practical safeguards, our commitment is to maintain reasonable protections proportionate to the nature of our business. We are a small translation and interpretation company, and our practices reflect commercially appropriate standards for a business of our size and type. Clients with exceptionally sensitive materials should discuss their specific requirements with us before submitting documents.

Access Controls

Access to client documents and project information is limited to the personnel, contractors, and interpreters who need access in order to provide the requested services. We employ role-based access restrictions within our systems to ensure that individuals can only view, edit, or download materials that are relevant to their assigned work.

Administrative access to systems containing client data is further restricted and subject to additional controls. We do not provide blanket access to all client materials to all team members. Instead, access is granted on a project-by-project basis, ensuring that each individual has access only to the specific documents and information necessary for the tasks assigned to them.

When a project is completed or when a contractor or interpreter is no longer involved in a particular engagement, their access to the associated client materials is revoked in a timely manner. We maintain records of who has accessed client materials to support our audit and compliance obligations.

Contractor and Interpreter Obligations

All translators, interpreters, and other contractors engaged by JHBridge are bound by confidentiality obligations as a condition of their engagement. These obligations require them to treat all client materials and project information as confidential, to use such information only for the purpose of providing the requested services, and to refrain from disclosing client information to unauthorized parties.

Our contractors and interpreters are subject to non-disclosure requirements that survive the termination of their engagement with JHBridge. This means that their obligation to protect the confidentiality of client materials continues even after their work on a particular project or their relationship with JHBridge has ended. Violations of confidentiality obligations may result in termination of the contractor relationship and may subject the individual to legal liability.

We expect all translators and interpreters working with JHBridge to conduct themselves professionally and ethically, consistent with the standards of the translation and interpretation industry. This includes maintaining the confidentiality of all information learned in the course of providing services, refraining from discussing client matters with unauthorized persons, and handling all materials with appropriate care.

Client Materials

Source documents submitted for translation, the resulting translated deliverables, and all associated project information -- including notes, correspondence, glossaries, reference materials, and project metadata -- are treated as confidential client materials. We do not share these materials with parties outside of JHBridge and its authorized contractors except as necessary for service delivery or as otherwise described in this policy.

Client materials are not used for marketing, training, portfolio display, or any other purpose beyond the provision of the requested services without the client's explicit prior consent. We do not sell, license, or otherwise commercially exploit client documents or translations. If we wish to use any client materials for purposes such as quality improvement or internal training, we will seek appropriate consent or anonymize the materials.

In the course of providing services, it may be necessary to share limited portions of client materials with specific contractors, interpreters, or support personnel. Such sharing is limited to what is reasonably necessary for service delivery and is subject to the confidentiality obligations described in this policy.

Exceptions to Confidentiality

While we are committed to maintaining the confidentiality of client materials, certain circumstances may require or permit disclosure. We may disclose client information or materials when required to do so by law, court order, subpoena, or other valid legal process issued by a court or governmental authority with jurisdiction over JHBridge.

We may also disclose information when we reasonably believe disclosure is necessary to protect the safety of any person, prevent fraud or other illegal activity, respond to a bona fide emergency, resolve payment disputes, enforce our agreements (including our Terms of Service and other contracts), or protect the rights, property, or safety of JHBridge, our clients, or the public.

In addition, we may disclose information in connection with a merger, acquisition, reorganization, sale of assets, or similar business transaction, provided that the receiving party agrees to maintain the confidentiality of client materials consistent with this policy. We will make reasonable efforts to notify affected clients of any such transaction to the extent permitted by law and practicable under the circumstances.

Retention and Disposal

Confidential client materials are retained in accordance with our Data Retention and Deletion Policy. We retain materials for the periods necessary to fulfill our service obligations, support our legitimate business operations (such as invoicing, quality assurance, and dispute resolution), and comply with applicable legal, tax, and regulatory requirements.

When confidential materials are no longer needed for any of the purposes described above and are not subject to a legal hold or preservation obligation, they are disposed of securely. Secure disposal may include permanent deletion from our systems, destruction of physical copies (if any), and removal from backup systems in accordance with our standard backup rotation schedules.

Clients should be aware that some records relating to their engagement with JHBridge -- such as invoices, contracts, and basic project records -- may be retained for extended periods as required for legal, tax, or compliance purposes, even after the underlying source documents and translations have been deleted. Such retained records are subject to the same confidentiality protections described in this policy.

No Absolute Guarantee

JHBRIDGE uses reasonable measures to protect the confidentiality of client materials, but we cannot guarantee absolute confidentiality. The nature of electronic communication, cloud-based storage, and internet-based service delivery inherently involves risks that cannot be completely eliminated, including the possibility of unauthorized access, interception, or disclosure despite our best efforts.

Clients should carefully consider the sensitivity of materials before uploading them to our platform or transmitting them to us electronically. If you are dealing with materials that require a level of confidentiality beyond what a small translation business can reasonably provide -- such as materials subject to national security classifications, attorney-client privilege protections requiring specific technical safeguards, or highly regulated data requiring specialized compliance frameworks -- we encourage you to discuss your specific needs with us before proceeding.

To the fullest extent permitted by applicable law, JHBRIDGE shall not be liable for any unauthorized disclosure of confidential materials except to the extent such disclosure results from our gross negligence or willful misconduct. Our liability for any breach of confidentiality is subject to the limitations and exclusions set forth in our Terms of Service.
