Applicant Privacy Notice

How JHBRIDGE Translation Services collects, uses, and protects information from individuals who apply to work with us as interpreters, translators, linguists, or other contractor roles.

Scope

This Applicant Privacy Notice applies to individuals who apply to work with JHBRIDGE Translation Services ("JHBridge," "we," "us," or "our") as interpreters, translators, linguists, or in other contractor roles. This notice describes how JHBridge collects, uses, shares, retains, and protects the personal information of applicants throughout the application and evaluation process.

This notice is separate from JHBridge's general Privacy Policy, which governs the personal information of clients and website visitors. If you are accepted as a contractor and begin working with JHBridge, your information will also be subject to the terms of your contractor agreement and any applicable data protection obligations described therein. This notice covers the period from the submission of your application through the conclusion of the evaluation process.

By submitting an application to JHBridge, you acknowledge that you have read and understood this Applicant Privacy Notice and that JHBridge will process your personal information as described herein. Information We Collect

JHBridge may collect the following categories of personal information from applicants: full name and contact information, including email address, phone number, and mailing address; resume or curriculum vitae (CV); cover letter or statement of interest; language proficiencies, certifications, and credentials; professional qualifications, specializations, and areas of expertise; work experience and employment history relevant to translation and interpretation; references and referral information; educational background and academic credentials.

We may also collect information about your availability and scheduling preferences, geographic location and service area, preferred modes of interpretation (in-person, telephonic, video), subject matter specializations (medical, legal, technical, etc.), and any other information you voluntarily provide during the application process, such as writing samples, translation test results, or portfolio materials.

The specific information collected may vary depending on the role applied for, the nature of the application process, and the information you choose to provide. JHBridge collects only information that is relevant to evaluating your qualifications and suitability for the role. We do not request or require applicants to provide information about protected characteristics such as race, religion, national origin, gender identity, sexual orientation, marital status, or disability status, except to the extent required by applicable law.

How We Use Applicant Information

JHBridge uses applicant information for the following purposes: evaluating your qualifications, skills, experience, and suitability for interpreter, translator, or linguist roles; communicating with you about the status of your application, scheduling interviews or assessments, and providing information about the engagement process; verifying your credentials, certifications, references, and professional qualifications where applicable and with your knowledge; and assessing language proficiency through tests, interviews, or evaluation of submitted samples.

We also use applicant information to make hiring and engagement decisions, to plan for current and future staffing needs, to comply with legal and regulatory obligations related to the hiring process, and to maintain records of the application process for legal, compliance, and administrative purposes. In some cases, we may use your information to match your qualifications with specific client needs or project requirements during the evaluation process.

JHBridge processes applicant information based on its legitimate business interest in evaluating and selecting qualified contractors, its need to take steps at the request of the applicant prior to entering into a contractor agreement, and its obligation to comply with applicable employment and labor laws. We do not use applicant information for purposes unrelated to the evaluation and engagement process without your consent.

Sharing of Applicant Information

Applicant information may be shared with JHBridge personnel who are directly involved in the hiring and engagement process, including founders, managers, and team members responsible for evaluating applications, conducting interviews, and making engagement decisions. Access to applicant information is limited to those individuals who need it for the purposes described in this notice, consistent with the principle of least privilege.

JHBridge does not sell applicant personal information to third parties. We do not share applicant information with third parties for their independent marketing or commercial purposes. Applicant information is used solely for the purposes described in this notice and is treated as confidential within JHBridge's organization.

In limited circumstances, applicant information may be shared with third-party background check providers if a background check is part of the evaluation process and the applicant has provided consent. Applicant information may also be disclosed to professional reference contacts identified by the applicant, to legal counsel or advisors as necessary to comply with legal obligations, or as otherwise required by applicable law, court order, or legal process. Any such disclosures are limited to the information reasonably necessary for the stated purpose.

Retention

Applicant information is retained for a reasonable period after the application process concludes, whether the applicant is accepted or not accepted for a contractor role. The specific retention period is determined based on JHBridge's legitimate business needs, legal and regulatory requirements, and the possibility that the applicant may be considered for future engagement opportunities that match their qualifications.

For applicants who are not selected, JHBridge may retain application materials for a period sufficient to allow for reconsideration if future opportunities arise, to defend against potential legal claims related to the hiring process, and to comply with applicable record-keeping requirements. If you would like your application materials to be deleted sooner, please contact us at contact@jhbridgetranslation.com and we will consider your request in light of our legal and business obligations.

For applicants who are accepted and engaged as contractors, their application information becomes part of their contractor records and is subject to the data retention practices described in JHBridge's general Privacy Policy and the applicable contractor agreement. Contractor records are retained for the duration of the engagement and for a reasonable period thereafter as required for legal, tax, compliance, and business purposes.

Your Rights

Depending on applicable law, including the Massachusetts data privacy laws and other state or federal privacy regulations, applicants may have certain rights with respect to their personal information. These rights may include the right to access the personal information JHBridge holds about you, the right to request correction of inaccurate or incomplete information, and the right to request deletion of your personal information, subject to certain exceptions.

To exercise any of these rights, please contact us at contact@jhbridgetranslation.com with a description of your request and sufficient information for us to verify your identity. JHBridge will respond to valid requests within the timeframes required by applicable law. We may need to verify your identity before processing your request to protect the security and privacy of applicant information.

Please note that certain information may be retained even after a deletion request if retention is necessary for JHBridge to comply with legal obligations, resolve disputes, enforce agreements, or exercise or defend legal claims. JHBridge will inform you if any exceptions apply to your request and will delete or de-identify the information to the extent permitted by applicable law.

No Guarantee of Engagement

Submitting an application to JHBridge does not guarantee acceptance as a contractor, engagement on any project, assignment availability, or any minimum amount of work. JHBridge engages independent contractors at its discretion based on business needs, client demand, project requirements, and the qualifications and availability of applicants. The application process is competitive, and not all qualified applicants may be selected.

Even if an applicant is accepted and engaged as an independent contractor, JHBridge does not guarantee a minimum number of assignments, a minimum level of compensation, or continuity of engagement. Contractor assignments are made based on client needs, project timelines, language pair requirements, subject matter expertise, contractor availability, and other operational factors. The contractor relationship is governed by the terms of the applicable contractor agreement.

This Applicant Privacy Notice does not create an employment relationship, a contract for employment, or any binding commitment by JHBridge to engage the applicant. The relationship between JHBridge and its contractors is that of independent contractor, not employer-employee. Nothing in this notice should be construed as a promise or guarantee of engagement, compensation, or any other employment-related benefit.

Security

Applicant information is protected using reasonable security measures consistent with JHBridge's Security Policy. We implement appropriate technical and organizational safeguards to protect applicant personal information against unauthorized access, alteration, disclosure, or destruction. These measures include access controls that limit who can view applicant information, encryption of data in transit and at rest, and secure storage of application materials within our cloud infrastructure.

Access to applicant information is restricted to authorized JHBridge personnel who need access for the purposes described in this notice. We maintain audit controls to monitor access to applicant data and to detect unauthorized access attempts. Our security practices are designed to protect the confidentiality, integrity, and availability of applicant information throughout the application process and during the retention period.

While JHBridge implements reasonable security measures, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security of applicant information, and applicants acknowledge the inherent risks of transmitting personal information electronically. If you become aware of any unauthorized access to or use of your applicant information, please notify us immediately at contact@jhbridgetranslation.com so that we can investigate and take appropriate action.
